Duplication Requests

e-Delivery

UCLA Library Special Collections (LSC) provides e-delivery service that supplies limited reference-quality PDFs at no cost to remote users. We can take photographs on your behalf for 30 minutes (~100 pages) and there is no charge for the service.

High-resolution Scanning Services and AV Digitization

LSC also offers a fee-based service to provide high-resolution scanning services and AV digitization for researchers. To place an order for either of these services, please do the following:

  • Go to LSC Request System(opens in a new tab) to create and/or access your account.
  • There are two options for signing in:
    • Any user with a valid UCLA Logon ID should click UCLA Affiliated Users on the left to log in with their UCLA logon ID and UCLA authentication. (New users should click First Time User? Create an account link near the bottom of the Aeon Login for UCLA Affiliated Users page and complete the registration form.)
    • Any user without a valid UCLA Logon ID should click Non-Affiliated Users on the right. This will bypass UCLA Authentication. (New users should click First Time User? Create an account link near the bottom of the Aeon Login for Non-UCLA Affiliated Users page and complete the registration form.)
  • Click UCLA Library Catalog on the yellow menu bar at the top of the screen.
  • Find the catalog record for the book or collection from which you wish to request copies.
  • Click Request material to open a request page.
  • Click Switch to Photoduplication Form.
  • Fill out the form. Please be sure to include any relevant information we need to know to correctly process your request.
  • Click Submit Request.
  • Limits have been established to ensure the preservation of the materials (see "Service Fees" section below). Duplication requests are accepted pending review by public services staff. Approved requests are processed in the order received.

Duplication Policies and Copyright Information

Patrons may not publish, post to the Internet or otherwise distribute copies of any LSC holdings that fall under U.S. Copyright law without appropriate permission. Provision of copies of LSC holdings does not in any way imply permission to utilize materials for reasons other than personal research and scholarly use. If an intended use will extend beyond personal research purposes and a patron wishes to publish or distribute copies of materials in LSC’s collections, please note the following:

  • The Library does not grant or deny permission to publish or otherwise distribute material whose copyright it does not hold or material deemed to be in the public domain.
  • The majority of LSC materials are still within copyright.
  • It is the responsibility of the user to clear any intellectual property (copyright, trademark, patent), privacy and publicity rights in the material prior to publication or distribution. Upon request, LSC will provide any rights contact information it holds, subject to the privacy needs of our donors.
  • LSC owns the copyright for only a portion of the materials it possesses.
  • The user must appropriately cite or credit the source of any materials in LSC collections. Our standard citation/credit line is: Library Special Collections, Charles E. Young Research Library, UCLA.

If you wish to publish material under copyright of the University of California Regents to obtain a licensing agreement, please contact AskLSC@library.ucla.edu(opens in a new tab). We will issue licensing agreements for commercial and non-commercial uses. Licensing fees may apply.

Copyright Notice

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement.

Personal Photography of LSC Material

If you are able to visit LSC:

  • You are allowed to take unlimited low-resolution images in the reading room of collection materials that do not have duplication or access restrictions.
    • These images can only be used for personal or research purposes.
  • LSC staff can provide PDF low-resolution images of certain collections if you are unable to take images of materials during your visit. This service is limited to a maximum of 100 pages and there is no charge for the service.

If you are unable to visit LSC:

  • Our e-delivery program provides reference-quality PDFs of clearly identified materials. We can take photographs on your behalf for 30 minutes (~100 pages) and there is no charge for the service.
  • For more in-depth research, we ask that you hire a proxy researcher. Please see our FAQ(opens in a new tab) for more information.

Fees for Duplication Services

The UCLA Library charges fees for certain LSC services. Payment in full is required before orders can be delivered.

Duplication of Audio, Film, Videotapes

Our in-house AV reformatting capacity is limited. Requests will be reviewed on a case-by-case basis by our staff. Please submit your request details and we will contact you to discuss options to access content. High-volume requests, rush requests or formats we cannot currently support may be outsourced to a vendor and billed to the requestor at cost.

Wire Transfers

In some cases, for invoices totaling more than $500, payment by electronic fund transfer (EFT) may be approved. A fee of $45 per transaction will be charged to all users.
